Group Study Timeline and Instructions

Join our “community” QI Study on Staff Utilization. Data Collection begins Wednesday October 1.

Tracking staff utilization in an ASC is essential, particularly given the cost-conscious nature of the surgical center environment. Ongoing monitoring of these metrics improves operational efficiency, cost management, patient safety and quality of care, staff satisfaction and retention, and supports data-driven decision making.

Here’s how the group study will work:

  1. Download the Excel tool below to track the data points needed for the study. The tool is set up to make calculations for you.
  2. Track your data every day for 1 month (October) and submit at the end via a Qualtrics online survey linked below.
  3. We will compile the data into a comprehensive report that shows participant data in comparison to standard industry averages and offer recommended action items for the top 3 metrics people are struggling with
  4. Write up your QI study.

This Excel worksheet contains 3 tabs

  • Input total from” Non-Working Hours (Daily)” in the “Productive Hours (Daily)” tab daily for accurate calculations.
  • Input month end totals in all yellow highlighted cells for October.
  • Staff Utilization Rate will be the most important data point for the study, but all metrics will be included. The more data you submit, the more the group will get out of it.
  • Once the month period is over, you will use the data you collected in the Excel Tool to submit via this online survey.

Notes and Definitions

  • Productive Hours: Hours that staff are actively caring for patients. Working hours less non-working hours (breaks and lunch, or unexpected down time – case runs over, patient transfer, equipment down, power/EHR outage, etc.)
  • *Benchmarks provided are averages for the “ASC Environment”. If your ASC has longer, more complex cases, if you are exceedingly high or low volume, you should refer to your specific specialty KPIs. Acuity level and specialty/procedure specific considerations. Benchmarks are general “ASC” averages from various sources.
  • Ratios: In general, how many of each staff member are present for total patients at any given time through the course of a surgery day. For example, a 5:1 patient-to-nurse ratio means 1 nurse is taking care of 5 patients and a 2:1 ratio means 1 nurse is caring for 2 patients.
